Attachments on Outgoing Electronic Documents
Attachments on the source document in BC (for example a posted sales invoice) are copied automatically to the electronic document when it is created. In addition, you can add attachments manually to an outgoing electronic document before it is sent, and remove attachments that the standard does not allow.
Which file types can be sent depends on the BII Standard field in eDoc Setup. See a more detailed description here.
Allowed File Types
| BII Standard | Allowed file types |
|---|---|
| TS236 | PDF, PNG, JPEG, CSV, XLSX, and ODS. |
| TS136 | PDF, JPG/JPEG, PNG, TIF/TIFF, GIF, DOC, XLS, XLSX, PPT, XML, HTML, TXT, CSV, and ODS. |
TS 236 (PEPPOL BIS Billing 3.0) only allows the types in the table. Other types, for example HTML, XML, DOC, XLS, and GIF, are not allowed.
TS 136 supports more types. Some newer types, for example XLSX and ODS, are not known to the standard by name. They are therefore sent as a generic file (application/octet-stream), but the file name keeps the correct extension, so the recipient can see what kind of file it is.
Attachments on the source document that are not on the list, for example DOCX, PPTX, ODT, or BMP, are not copied to the electronic document.
Add an Attachment
Applies to outgoing electronic documents that have not been sent, that is, sales invoices, sales credit memos, orders, return orders, service invoices, and service credit memos.
- Open the electronic document.
- In the Attachments FactBox, choose Add Attachment. You cannot create a new line directly in the FactBox.
- Select the file to attach.
The attachment is added to the electronic document and marked as Added Manually.
The system checks the file type against the BII Standard. If the type is not allowed, the error File type not supported is shown and the attachment is not added.
If the electronic document is incoming or has the status Sent OK!, the action is disabled. If you try to add an attachment to such a document, the error Attachments cannot be added is shown.
Attachments Not Allowed in TS 236
When the BII Standard is TS236, the system checks the attachments on the electronic document when the XML document is generated, for example when it is sent. If an attachment has a type that TS 236 does not allow, the error Attachment type not allowed in TS 236 is shown and the document is not sent. Attachments that are only links (URLs) are not checked, because they are not sent as files.
The error offers two actions:
| Action | Explanation |
|---|---|
| Remove attachment | Deletes the attachment that the error refers to from the electronic document so it can be sent. |
| Open eDoc | Opens the electronic document card. |
You can also:
- Delete the attachment in the Attachments FactBox on the electronic document and, if needed, add a new attachment of an allowed type with Add Attachment.
- Fix the attachments on the source document and run Recreate on the electronic document.
Recreate and Manual Attachments
Recreate rebuilds the attachments on the electronic document from the source document. Attachments that were added manually are therefore removed.
If any of the electronic documents to be recreated has a manually added attachment and has not been sent, the system asks for confirmation and lists the numbers of those documents. If you cancel, no document is recreated.
